Versar Global Solutions is currently seeking a full-time Administrative Assistant. The ideal candidate is organized with an eye for detail and possesses excellent communication and computer skills.
Responsibilities
Distribute project information to staff, management & clients.
Assemble specialized reports as requested (bridgework orders, NPDES, inspections, etc.)
Collect, mail, or email correspondence.
Maintain office supplies and stock control.
Verify and sign for deliveries.
Perform receptionist duties (i.e., answer phones, deliver messages, confirm orders, manage customer complaints, assist in work order processes)
Schedule and plan meetings/appointments with DOT, MOA, and Employees
Input, maintained, and closed work orders.
Input customer, client, and internal personnel information to maintain and close work orders.
Input data received from project personnel into the work order system.
Ensure data is correct, complete, and professionally organized in the work order.
File and upload physical documents as it relates to work orders and 3rd Party Claims
Investigate and obtain additional information as the 3rd Party Claims Department requested and input it into the work order system.
Send out reminders for work orders that require additional information to be closed, such as quantities, description of work, materials, personnel, photos, etc.
Will assist different departments with Special Projects - Procedural Inspection data entry
Will assist the management team with the projects Fleet Management documentation
Answer telephone calls and emails as directed by management
Understand and abide by the standards set forth for ethical behavior and integrity as detailed in the Code of Business Conduct
Qualifications
Minimum two years of Administrative Assistant or related office experience
Minimum two years of customer service experience
High school diploma or GED required; associate or bachelor's degree preferred.
Average typing speed of 40 words per minute
Working knowledge of Microsoft Office
Strong computer skills
2+ years of administrative support in an office environment
2+ years of customer service experience
Ability to follow detailed instructions and be detail oriented.
Ability and willingness to work closely with others and departments.
Strong organizational skills
Ability to enter data into a computer quickly and accurately.
